Office Administrator Job Responsibilities:
Accounts Receivable
• Generate and send daily invoices to customers
• Apply daily cash receipts to accounts
• Manage past-due collections and follow up on overdue invoices as necessary
• Process credit card payments as needed
• Obtain and review new customer credit references as needed
Accounts Payable
• Match invoices to purchase orders daily
• Enter approved invoices into the accounting system
• Prepare and run the approved weekly check run
• Research and resolve any invoice discrepancies as needed
• Aid in benefits enrollment, ensuring timely distribution of forms to employees
• Help with year-end employee information updates (annually)
• Assist with insurance renewal processes (annually)
Office Administration
• Serve as the primary point of contact for incoming phone calls
• Organize and maintain filing system, including AP documents, cash receipts, and other important customer/vendor files
• Assist in maintaining office supply inventory
• Maintain PTO and company calendars (in conjunction with department managers)
Office Administrator Qualifications:
• Experience in administrative support or a similar role
• Strong organizational and time-management skills
• Detail-oriented with the ability to manage multiple tasks
• Proficiency with office software (Microsoft Office Suite, Acrobat, etc.)
• Basic knowledge of accounting principles and AP/AR processes is a plus
• Excellent communication and interpersonal skills
• Ability to maintain confidentiality and handle sensitive information
HOURS FOR THIS PART TIME POSITION 11 AM – 3:30PM Monday – Friday
