This part-time position operates a multiple-line telephone system to answer incoming calls and directs callers to appropriate personnel, greets visitors, and performs various administrative tasks for various departments, including those directly related to Human Resources, Sales, and Executive team support.
Administrative Assistant/Receptionist Responsibilities:
- Answers phone calls, retrieves and takes messages and forwards them to appropriate personnel.
- Assists with arranging catering, preparing meeting rooms, and other needs for meetings and events.
- Welcomes visitors, checks them into the facility, alerts the host, and monitors their facility access.
- Receives, sorts, and routes mail, faxes, and documents to appropriate personnel; maintains mailboxes.
- Maintains lobby area: restocks snacks/beverages, water plants, maintains a neat appearance, updates welcome board.
- Assists the Executive staff and Human Resource department with projects and general administrative tasks such as data entry, running reports, filing and copying, drafting letters, sending out anniversary and birthday cards for employees as directed, etc.
- Assists the Sales department with creating job/proposal folders, assisting in entering new equipment orders, lead distribution, etc.
Administrative Assistant/Receptionist:
- Above average verbal and written communication skills
- Proficient experience in Microsoft Office Suite
- Prior administrative support experience
