Office Administrator Job Description:
This position is responsible for all general office activities including reception, billing, order entry, accounts receivable, purchasing, accounts payable, payroll, and some customer service related duties.
- Process accounts payable transactions
- Place Vendor orders
- Review accuracy or appropriateness of all vendors’ invoices entered into the system; organize open payables according to estimated payment due dates, and make final payment
- Process sales invoices to customers based on contractual agreements, product shipment, engineering time provided, and tooling down payments and deliveries
- Process customer applications for credit and establish new accounts in the ERP system with approved credit limits. Follow up with customers with past due account balances as required
- Prepare daily cash deposits by posting receipts to individual customer accounts, and deposit funds into corporate bank account.
- Greet visitors and maintain awareness of reception area
- Pick-up, open, sort and distribute incoming mail. Monitor inventory and order office supplies as required
- Administer weekly payroll including commission payments; interface with outside payroll service regarding all payroll issues and concerns
- Process remittance of employee 401k withholdings and assume responsibility for administrative details associated with the 401k Safe Harbor Plan
- Coordinate all paperwork associated with employee additions and separations, including tax forms and any other required documentation. Maintain personnel files
- Reconcile all bank accounts at month end
- Oversee assignment of vacation and personal hours according to company policy and verify accuracy of all reporting to employeesOffice Assistant Qualifications:
- Associates degree in accounting or business preferred. Will consider individual with sufficient level of coursework or experience beyond high school to obtain the necessary accounting and clerical skills required for the position
- A minimum of three years relevant work experience in an office environment
- The ability to add, subtract, multiply, and divide all units of measure including whole numbers, common fractions, and decimals; the ability to compute rate, ratio, and percentages and interpret graphs
- Intermediate personal computer skills experienced at Microsoft Office applications and QuickBooks or similar accounting software
- Valid driver’s license
