We are seeking a highly organized and detail-oriented Accounts Payable and Office Administration Specialist to join our team. This role combines accounts payable duties with front desk reception and general office administration to ensure smooth daily operations. The ideal candidate will have strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Accounts Payable Duties:
• Process vendor invoices, verify accuracy, and obtain necessary approvals.
• Reconcile accounts payable transactions and resolve discrepancies.
• Maintain vendor records, including W-9 forms and payment terms.
• Coordinate with vendors regarding payment inquiries and resolve any issues.
Receptionist Duties:
• Greet visitors and provide excellent customer service.
• Answer and direct phone calls professionally.
• Manage incoming and outgoing mail, couriers, and deliveries.
• Maintain a tidy and welcoming front desk area.
Office Administration Duties:
• Order and maintain office supplies and equipment.
• Schedule meetings, appointments, and conference room bookings.
• Handle data entry, and general administrative tasks.
• Support Operations or other departments as needed.
Experience and Education
• High school diploma or equivalent
Skills Required
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Experience with accounting software and CANVA.
